(WADOT)

 POLICIES & PROCEDURES

 

DUTIES AND FUNCTIONS OF THE OFFICERS:

 

President shall: 

1.      Serve a term of one year.

2.      Develop and distribute an agenda to WADOT Board members at least ten (10) days prior to WADOT Board meetings.

3.      Provide written information regarding items that require WADOT Board action to WADOT Board members.

4.      Call and preside at all meetings of the organization, WADOT Board, and the Executive Board meetings.

5.      Prepare and implement a Strategic Plan to be presented to the WA-ACTE Executive Board in August.

6.      Maintain liaison with the OSPI Business and Marketing Pathway Program Supervisor.

7.      Appoint a nominating committee chairperson by the spring Board meeting.  Insure that a slate of eligible candidates is ready for presentation to the general membership meeting at the WA-ACTE Annual Conference.

8.      Provide articles for all WADOT newsletters sent out to the membership.

9.      Share with the President-Elect attendance at the WA-ACTE Board meetings.

10.  Assume other duties common to such an office and assume any other duties assigned to the office by the WADOT Board.

11.  Serve as a member of the executive committee.

 

President-Elect shall:  

1.      Serve a term of one year.

2.      Assume the duties of the President in case of absence of the President.

3.      Assume the office of President in case of vacancy in that office.

4.      Share with the President attendance at the WA-ACTE Board meetings.

5.      Present a Strategic Plan to the WADOT Board at end of term.

6.      Prepare an annual budget and submit to the WADOT Board at end of term

7.      Assume other duties common to such an office and assume any other duties assigned to the office by the WADOT Board.

8.      Serve as a member of the Executive Board.

 
Secretary
shall:  

1.       Serve a term of two years.

2.       Keep full and accurate reports of all meetings

3.       Distribute the minutes to all members of the WADOT Board within 2 weeks.

4.       Assume other duties common to such an office and assume any other duties assigned to the office by the WADOT Board.

5.    Serve as a member of the Executive Board.

 

Treasurer shall:

1.      Serve a term of two years.

2.      Collect all dues and monies of the organization and apportion their share to any affiliated organizations.

3.      Act as custodian of all WADOT funds, maintain the accounting system and keep records of all financial transactions of the organization by fiscal year.

4.      Pay all bills as directed by the WADOT Board.

5.      Provide to each member a printed summary of financial transactions at the annual general membership meeting.

6.      Provide a copy of the income and expense ledger to each board member at each Board meeting.

7.      Assume other duties common to such an office and assume any other duties assigned to the office by the WADOT Board.

8.      Serve as a member of the Executive Board.

 

Past President shall:  

1.      Serve a term of one year.

2.      Assist the president.

3.      Serve as chair of the nominating and awards committees.

4.      Provide input in development of the WADOT annual budget.

5.      Assume other duties common to such an office and assume any other duties assigned to the office by the WADOT Board.

6.      Serve as a member of the Executive Board.  

 

AREAS

The State of Washington shall be divided into at least five (5) WADOT Areas.  The WADOT Board shall be empowered to realign boundaries as the need arises.  Each of these Areas will have an elected organizational leader.  

            Area Leader shall:

1.      Serve a term of two years and be elected by their Area members.

2.      Conduct area meetings, and keep Area members informed of activities and issues within the WADOT organization.

3.      Be the area representative to the WADOT Board.

4.      Provide the WADOT Board with a written report of Area activities at each Board meeting.

5.      Provide articles for all WADOT newsletters sent out to the membership.

6.      Maintain a list of current Area members.

7.      Assume other duties common to such an office and assume any other duties assigned to the office by the WADOT Board.

8.      Serve as a member of the WADOT Board.

 

WADOT COMMITTEES  

Committee chairpersons and members shall be appointed and approved by the President.  Committee chairs and members need not be official members of the WADOT Board but must be current dues-paid WADOT members.  

Committee Chairpersons shall:

1.      Select committee members.

2.      Call and preside over all meetings of the committee.

3.      Submit to the WADOT Board a written report of the committee’s accomplishments when assigned functions are completed.

 

STANDING COMMITTEES  

Membership Chairperson shall:

1.      Serve a term of two years.

2.      Maintain and distribute a listing of the names and addresses of all members in good standing of WADOT to WADOT Board members.

3.      Encourage all WADOT members to join WA-ACTE.

4.      Work with WA-ACTE and WADOT treasurers and Area leaders to update membership lists as needed.

5.      Attend the WA-ACTE membership committee meetings.

6.      Serve as a member of the WADOT Board.  

 

Legislative Representative shall:

1.      Serve a term of two years.

2.      Keep WADOT members informed of CTE laws that apply to pertinent CTE programs.

3.      Provide a report at each Board meeting.

4.      Attend WA-ACTE Legislative Meetings.

5.      Serve as a member of the WADOT Board.

 

Washington Association for Career and Technical Education (WA-ACTE) Board Representative shall:

1.      Serve a term of two years.

2.      Attend all WA-ACTE meetings as the section representative.  

3.      Act on behalf of the section on all business conducted by WA-ACTE and will be empowered to represent WADOT on all issues.  

4.      Report the results of all WA-ACTE meetings to the WADOT Board.  

5.      Be responsible for the WADOT section WA-ACTE Summer Conference activities.  

6.      Shall serve as a member of the WADOT Board.

 

Publicity Chairperson shall:

1.      Serve a term of two years.

2.      Prepare and distribute a newsletter for all WADOT members as requested by the WADOT Board.

3.      Set deadlines for all articles to be submitted for inclusion in the newsletters.

4.      Maintain the WADOT Webpages via WebPage master.

5.      Serve as member of the WADOT Board.

 

Scholarship Chairperson shall:

1.      Serve a term of two years.

2.      Prepare and distribute WADOT scholarship form.

3.      Make revisions to the form as deemed necessary by the WADOT Board.

4.      Set the deadline each year for the submission of the scholarship form.

5.      Review all forms and select scholarship recipients with committee members.

6.      Contact and present scholarships to award winners.

7.      Serve as a member of the WADOT Board.

 

Student Leadership Chairperson shall:

1.      Serve a term of two years.

2.      Prepare a description of the type and location of the WADOT annual student leadership conference.

3.      Present a proposal and budget to the WADOT Board at the spring Board meeting for approval for following year.

4.      Be responsible for the set up, program, distribution of all publicity and collection of all funds to support the event.

5.      Submit a reconciliation report to the WADOT Board at the following board meeting.

6.      Serve as a member of the WADOT Board.

 

TEMPORARY COMMITTEES

The President shall have the authority to appoint temporary committees as necessary to carry on the business of the organization.

VOTING  

1.      All current dues-paid WADOT members will have one vote at meetings.  Only WADOT Board members may vote at Board meetings.

2.      Elected WADOT Board members will be voted into office at the WA-ACTE Annual Conference during the WADOOT section General Membership Meeting.

3.      If the position of President-Elect is not filled at the WA-ACTE Annual Conference the WADOT Board shall be empowered to appoint a member in good standing with WADOT until the next general election.

4.      Members can hold more than one board position but no elected officer can hold another elected office.

FINANCES

1.      The following may be considered reimbursable expenses if not covered by local districts:

a.       Committee work transportation and meals.

b.      Postage, office supplies needed to perform duties

c.       Any other expenses approved by the WADOT Board

2.      Expenses must be receipted, documented on the WADOT expense form and approved by the WADOT President.  (President-elect or past president my sign if President is unavailable.)

3.      Each Area will be given a budget prepared by the current WADOT Board.  Area members vote on the disbursement of Area funds to be used for the benefit of Career and Technical Education students.  To request additional money, Area leaders must present their request to the WADOT Board with rational and proposed use by the spring Board meeting.

4.      The WADOT Board shall be empowered to amend the annual budget by transferring monies from one line item to another.  

AMENDMENTS

These Policies and Procedures may be amended by a two-thirds vote of the WADOT Board members present.
